If you are looking to migrate an existing Google account over to HIPAA Vault, please note that Customers with G Suite for Nonprofits or the legacy free edition of G Suite can’t be transferred. You can upgrade to a paid edition of G Suite or Google Workspace,

I am interested in a HIPAA compliant email service. What’s different about HIPAA Vault?

We provide a BAA for all of our customers, which is needed for HIPAA compliance. Our solution also has the benefit of cutting-edge, fully-managed security and 24/7 dedicated, live support to assist you with any issues you may be having.

I currently have free Gmail. Do I need a GSuite (now Google Workspace) account for HIPAA Gmail ?

Yes. A Google Workspace business account provides many of the security features you need for HIPAA compliant email. HIPAA Vault will add extra services such as encryption to allow you to send and receive email safely.

I need encrypted email and an email address for my practice. How do I start?

We offer two HIPAA compliant email solutions: one is Gmail, and the other is Outlook. Both plans start at $12/user/month (billed annually). We can create a new email address for you as well – you’ll just need your own domain, which we can also register for you.

Is the $12/month for one email account only?

Yes, that is the price per user. Individual emails for 5 different employees, for example, would cost 5 x $12 = $60/month ($720 annually). You may purchase an unlimited number of email accounts.

What would be the cost if we redirect our mx records with 10 emails?

For our $12/user/month annual plan, this would be $1,440/year

Can I keep all of my existing email information?

Yes, we charge a $10 migration fee per account.

Can we use our existing domain?

Yes, as long as you are the owner, or have access to modify DNS records.

What if I want to create my own domain: john@johnsmith.com? Will I have the same features for encrypted email as I would with a Gmail address?

Definitely. For Gmail you will just need to subscribe to Google Workspace

Can I send/receive attachments (e.g. PDF’s, word documents, phone images)?

Yes, attachment sizes will vary per product.

Regarding encryption: what will be the experience of my email recipients, and how does it differ from receiving a regular email?

Our encryption platforms are user-friendly. Here’s how the process works: Encrypted emails travel first to a protected ‘communication room;’ your recipients then receive a message and link from the room that they’ve received an encrypted email. The link directs them to a two-factor authentication login and enables a separate code for them to input. Once the code is entered, they can view your decrypted message, and respond with an encrypted email of their own while in the communication room. Note: Our email platforms also provide the option to send non-HIPAA compliant emails as well, when PHI is not involved.

Does HIPAA Vault offer a HIPAA-secure video option?

HIPAA Vault is a Google Partner, offering Google Meet as a compliant video conferencing tool.

Do you offer a free-trial period?
